Costume Shop Auxiliary Loan-out Coordinator

We are seeking a Costume Shop Auxiliary Loan-out Coordinator who is excited to support the Stanford TAPS Costume Shop and engage with Stanford’s theater community. The Auxiliary Loan-out Coordinator works with Costume Shop Loan-out coordinators by providing additional support when needed in administering on-site loan-outs from TAPS costume storage to student theater groups throughout the academic year. 

This position is perfect for someone who likes to jump in and support others and values having a flexible schedule. This role is best suited to someone who wants to gain hands-on experience with costume design, handling costumes and inventory, while also developing communication and administrative skills in the arts. The auxiliary position in particular is designed for a proactive student who wants to provide additional assistance to Loan-Out Coordinators as needed throughout the academic year.

This role is primarily on-site with some remote responsibilities such as responding to emails. On-site work will be primarily in Memorial Auditorium Rm 132 and costume storage.

Time commitment: About 5 hours per week 
Shift time: Flexible, on-call position: The Costume Shop Auxiliary Loan-out Coordinator can expect to work at least 2 and up to 10 hours per week, averaging about 5 hours per week. The role is an as-needed position assisting the Costume Loan-out coordinators in administering the TAPS costume loan-out program. This position is flexible and you can schedule your own hours around your academic schedule and commitments, but you should expect to be called in for more hours when there is need for extra hands on loan-outs. The Auxiliary Loan-out Coordinator will also fill in for Loan-Out Coordinators in case they are absent due to unforeseen circumstances, such as COVID-19. Although there may be fewer hours available when there is less need, the Auxiliary Loan-out Coordinator will receive a guaranteed 2 hours of pay per week, whether you are called in or not.


The costume loan-out coordinators will receive training from the Costume Shop Staff during week 1 of fall quarter and continued support from the Costume Shop Staff throughout their tenures.

Pay: $16.80/hour

Duties and Responsibilities:
  • Assist Loan-out Coordinators by providing extra support or picking up additional tasks during periods of high demand for loan-outs to student groups, or in case of absences due to unforeseen circumstances
  • Handle communication and meetings as the liaison between the Costume Shop and student theater organizations with professionalism
  • Follow up on emails and facilitate communication between student groups and Loan-out Coordinators
  • Finalize and complete past loan-outs
  • Help borrowers find appropriate items and access TAPS dressing room spaces

Qualifications:
  • No formal costume design or theater work experience is required – Just an enthusiasm to learn!
  • Must be available on campus for the entire academic year
  • Must be able to lift 30 lbs unassisted
  • Must be comfortable traversing and carrying items on stairs, uneven surfaces, or in low light situations
  • Prompt communicator, able to respond to emails within 24 hours
  • Be able to flexibly adjust to shift changes on short-notice as the workload changes based on loan-out program needs
  • Enthusiastic about jumping in and helping Loan-out Coordinators with program needs
  • Self-directed student who can set their own schedule and work independently
  • Must cultivate a sense of stewardship over our costume stock. Be able to firmly enforce loan-out policies and deadlines when approving or denying requests on a case-by-case basis, and be comfortable saying no to peers when necessary
  • Comfortable being a proactive communicator with students, faculty, guest artists, and staff

Students will engage with personal biometric information.  Situational awareness and sensitivity is required.  Personal measurements, fitting information, and costume shop communications are confidential.
